Who is responsible for your data

The data controller is Nova Polonia UK CIC, a Community Interest Company registered in England and Wales under number 17247317, with its registered office at 20 Egerton Grove, Worsley, Manchester, M28 3LH.

For anything concerning personal data, write to novapoloniaukcic@gmail.com. We have not appointed a separate data protection officer - all enquiries go to that address and are handled by the Nova Polonia team.

What we collect

Through the contact form we collect only what you type into it:

• your name
• your email address
• the topic you select
• the content of your message

We do not ask for any special category data (health, beliefs, ethnicity) and we ask that you do not include such information in your message.

Our hosting provider, Cloudflare, processes technical connection logs including IP addresses. This is a standard part of running and securing a web server.

Why we process it, and on what basis

We use the data from the form solely to reply to your message and to correspond with you about the matter you raised.

The lawful basis is our legitimate interest (Article 6(1)(f) UK GDPR) in communicating with people who contact us. We do not use this data for marketing and we do not pass it to anyone for commercial purposes.

Who we share it with

We use two external services that technically come into contact with your data:

• Web3Forms - handles the contact form submission and forwards the message to our inbox. The data passes through their servers, which may be located outside the United Kingdom.
• Cloudflare - hosts this website and processes technical logs.

Beyond that we do not share your data with anyone, unless we are required to by law.

How long we keep it

We keep messages received through the form in our mailbox for no longer than 24 months after our last contact about the matter, and then delete them.

If you would like your message deleted sooner, write to novapoloniaukcic@gmail.com.

Photographs and likeness

We publish photographs from our events and profiles of the people behind Nova Polonia. A person's likeness is personal data, so we publish it on the basis of consent from the people shown, and in the case of children, consent from a parent or guardian.

Consent can be withdrawn at any time, without giving a reason. Just write to novapoloniaukcic@gmail.com and we will remove the photograph promptly. Withdrawing consent does not affect the lawfulness of publication before the withdrawal.

The campfire photographs were taken by a professional photographer and are published with his permission; copyright in them remains with the author.

Cookies

This website does not use cookies or any other form of storage in your browser. We use no analytics tools, no advertising pixels and no social plugins that track visitors.

Typefaces are served from our own server, and the Facebook and Instagram buttons are ordinary links - clicking them takes you off our site, where those services' own rules apply.

That is why you will not see a cookie consent banner here. There is nothing to consent to.

Your rights

In relation to your data you have the right to:

• access - request a copy of the data we hold about you
• rectification - ask us to correct data that is wrong
• erasure - ask us to delete your data
• restriction - ask us to pause processing
• object - object to processing based on legitimate interest
• portability - ask for your data in a machine-readable format

To exercise any of these rights, write to novapoloniaukcic@gmail.com. We will respond within one month.

If you believe we are handling your data unlawfully, you can complain to the UK regulator, the Information Commissioner's Office (ico.org.uk). We would appreciate the chance to put things right first.

Changes to this policy

If we change how we handle data - for instance by adding an analytics tool or a new form - we will update this page and change the date at the top.
